For a commercial installation, the AMC is arguably more important than the equipment choice, because it determines what happens on the day the plant stops — and for a hospital, a factory canteen or a 200-flat society, that day has a cost measured in far more than the repair.

Commercial AMC comes in two forms. Comprehensive includes parts — membranes, cartridges, pumps, lamps — and typically runs 10-14% of capital cost annually. Non-comprehensive covers scheduled visits and labour only, at 5-8%, with parts billed as consumed. Comprehensive is more expensive on paper and usually better value in practice, because it aligns the vendor's incentive with plant uptime rather than with billable replacements.

The negotiation that matters is not the percentage. It is the response time, the escalation path, whether critical spares are held locally, and whether the inclusion list is specific enough to prevent arguments later.

What must be written into the contract

  • Response time for breakdowns, stated in hours, with a named escalation contact — not 'at the earliest'.
  • Number and frequency of preventive visits, with a defined checklist for each.
  • Itemised inclusion list: which parts are covered, and explicitly which are not.
  • Consumable replacement intervals, and whether replacement is on schedule or on condition.
  • Whether critical spares (membranes, pump, HP switch) are held locally or shipped on failure.
  • Water quality guarantee: output parameters and how they are verified at each visit.
  • A service log, physical or digital, signed at every visit — this is your evidence base.

Tip

Ask for the preventive-maintenance checklist before signing. A vendor who cannot produce a documented per-visit checklist is selling you visits, not maintenance.

Preventive maintenance that actually prevents failures

  • Daily: log feed and product TDS, and operating pressures. A trend tells you about fouling weeks before a failure does.
  • Weekly: backwash multigrade and carbon filters; check salt level if a softener is installed.
  • Monthly: verify antiscalant dosing rate, inspect for leaks, clean UV quartz sleeve.
  • Quarterly: replace cartridge filters; verify auto-flush operation; check pump current draw.
  • Annually or on condition: membrane CIP or replacement based on differential pressure and salt rejection trends, UV lamp replacement on hours.

Total cost of ownership, not just capex

Capital cost is usually 30-40% of what a commercial water system costs you over five years. The rest is power, membrane and cartridge replacement, reject water, and labour. Two plants with identical price tags can differ by 60% in five-year TCO.
